Generated maps and AI-generated outputs may be stored within your account so that you can access, edit, and manage them.
Textomap does not use your prompts, uploaded files, or generated outputs to train its own AI models.
Textomap has disabled OpenAI API data sharing.
Accordingly, API inputs and outputs processed through the OpenAI API are not used to train OpenAI's models.

Clarification on Location Data Processing: All location and geographic information processed by Textomap (including addresses, place names, landmarks, city names, or geographic coordinates) is derived exclusively from the text, prompts, URLs, or files that you explicitly submit for map visualization. Textomap does not collect, monitor, or track passive background location or live device GPS data from your browser or mobile device.
4.3 AI Inputs and AI Outputs
Textomap provides AI-powered features that allow users to transform text, documents, URLs, addresses, and other information into interactive maps, geographic visualizations, and related content.
When you use these features, we process the information you choose to provide, including but not limited to:
- text prompts;
- questions and instructions;
- uploaded files and documents;
- URLs and website content that you ask us to analyze;
- addresses, place names, landmarks, and geographic coordinates;
- images (where supported);
- user preferences and generation settings.
This information is processed solely for the purpose of generating the maps, geographic visualizations, summaries, recommendations, and other AI-powered outputs that you request.
Depending on the feature used, we may also temporarily process generated outputs to improve reliability, detect abuse, troubleshoot technical issues, and allow you to access your previously generated content.
Unless you choose to save or share your generated maps, AI outputs are not made publicly available by Textomap.
4.4 Uploaded Files and Documents
Certain features of the Services allow you to upload files to generate maps or extract geographic information.
Examples include:
- spreadsheets;

- other supported file formats.
Uploaded files are processed solely to provide the functionality requested by you.
We do not review uploaded content except where reasonably necessary to:
- provide customer support;
- investigate suspected abuse;
- protect the security of the Services;

4.5 Generated Maps and Saved Content

Saved maps remain associated with your account until you delete them or permanently delete your account, unless a longer retention period is required by law.

The information processed by our AI systems depends on the feature you choose to use.

You must not submit any Restricted Data or regulated sensitive information to Textomap, including but not limited to:
- Protected Health Information (PHI) subject to HIPAA;
- Payment card details subject to PCI DSS;
- Government-issued identification numbers (e.g., Social Security numbers, passport numbers);
- Account passwords or raw API keys.
Textomap is not designed to process or store these categories of regulated data, and we disclaim all liability for unauthorized submissions of Restricted Data.
7.2 AI Outputs
Based on the information you submit, Textomap may generate:
- interactive maps;
- geographic visualizations;
- extracted locations;
- route suggestions;
- summaries;
- recommendations;
- structured geographic information;
- downloadable map data;
- other AI-generated responses.
AI-generated outputs are created automatically and may contain inaccuracies or omissions.
Users remain responsible for reviewing generated outputs before relying on them for business, legal, medical, financial, safety-critical, or other important decisions.
7.3 How AI Processing Works
To provide AI-powered functionality, the information you submit is transmitted to our AI processing provider.
This processing occurs solely for the purpose of generating the response you requested.
Depending on the feature you use, the processing may include:
- extracting geographic entities;
- identifying addresses and locations;
- understanding natural language;
- generating interactive maps;
- generating summaries;
- responding to follow-up questions;
- improving response quality for your current request.
We do not manually review prompts or generated outputs except where reasonably necessary to:
- provide customer support;
- investigate suspected abuse;
- maintain platform security;
- comply with applicable law.
Data Minimization & Conversation History Disclaimer: When used as an integration, Action, or app within ChatGPT or the OpenAI App Store, Textomap strictly adheres to data minimization principles. Textomap processes only the discrete data payloads, text snippets, URLs, files, or location parameters explicitly passed to our endpoint to fulfill your specific map request. Textomap does not request, pull, collect, store, or reconstruct your broader ChatGPT conversation transcripts, chat history, or surrounding discussion context outside of the specific input parameters authorized for the request.
7.4 OpenAI API
Textomap uses the OpenAI API to provide certain AI-powered functionality.
When you use these features, prompts, uploaded content, URLs, addresses, and related information may be transmitted to OpenAI solely for the purpose of generating the requested output.
Textomap has disabled all available OpenAI API data-sharing options for its organization.
Accordingly:
- API inputs are not shared with OpenAI for model training.
- API outputs are not shared with OpenAI for model training.
- Feedback sharing with OpenAI is disabled.
- Evaluation and fine-tuning data sharing is disabled.
7.5 AI Model Limitations
Artificial intelligence is intended to assist—not replace—human judgment.
Although we continuously improve our Services, AI-generated outputs may:
- contain inaccuracies;
- omit relevant information;
- misunderstand context;
- generate incomplete geographic information;
- include outdated information;
- misidentify locations.
Users should independently verify important information before relying on AI-generated outputs.
7.6 ChatGPT and OpenAI App Store Integrations
When you access or use Textomap through ChatGPT, Custom GPTs, or the OpenAI App Store:
- Independent Data Controllers: Textomap UG and OpenAI (OpenAI, L.L.C. and its affiliates) act as separate and independent data controllers with respect to personal information processed in connection with the integration. Your general interactions, chat transcripts, and account settings within ChatGPT are governed by OpenAI's Privacy Policy and Terms of Use. Textomap controls and processes only the specific data payloads transmitted directly to our integration or Action endpoint.
- Data Minimization: Textomap collects and processes only the minimum necessary information required to fulfill your mapping request (e.g., location queries, addresses, text snippets, or attached files explicitly sent to the Textomap Action).
- No Access to Full Conversation History: Textomap does not request, pull, store, or reconstruct your broader ChatGPT conversation transcripts or chat history outside the discrete parameters passed to our Service.
- No Model Training: Personal data processed through the Textomap ChatGPT integration or OpenAI API is not used by Textomap or OpenAI to train AI models.
8. Third-Party Service Providers
To operate Textomap, we work with trusted third-party providers.
These providers process personal information only to the extent necessary to deliver their services to Textomap.
We carefully select providers that maintain appropriate security and privacy standards.
8.1 OpenAI
Purpose: AI processing and response generation.
Information that may be processed: prompts, uploaded documents, uploaded files, URLs, addresses, place names, user instructions, conversation context required to generate responses.

Clarification on Controller Roles: When Textomap uses the OpenAI API to power features on textomap.com, OpenAI acts as a service provider/processor to Textomap. Conversely, when users interact with Textomap inside ChatGPT or the OpenAI App Store, OpenAI and Textomap act as independent data controllers.
8.2 Amazon Web Services (AWS)
Purpose: Hosting, infrastructure, storage, networking, backups, and platform security.
AWS may process information necessary to securely host the Services and maintain service availability.

8.3 Mapbox
Purpose: Map rendering, geocoding, geographic visualization, and mapping services.

If you sign in using Google, we receive only the information necessary to authenticate your account, including:

8.5 Microsoft Clarity
Textomap uses Microsoft Clarity to understand product usage and improve the Services.
Microsoft Clarity may collect:

8.6 Future Service Providers
From time to time we may engage additional providers for services such as customer support, email delivery, monitoring, security, payment processing, logging, and infrastructure.

Where prompts are no longer required, they are securely deleted or anonymized.
11.3 Uploaded Files
Uploaded documents and files are retained only as long as necessary to provide the functionality you requested.
Files may remain associated with your account if you choose to save generated maps or related projects.
Deleting the associated project or your account will normally result in deletion of uploaded files from our active systems, subject to limited backup retention and legal obligations.
11.4 Generated Maps and AI Outputs
Generated maps, extracted geographic information, and AI-generated outputs remain available in your account until:
- you delete them;
- you delete your account; or
- retention is otherwise required by law.
If you permanently delete your account, we will delete or anonymize these materials from our active systems within a reasonable period, except where legal obligations require longer retention.
11.5 Usage Data
Technical logs, diagnostic information, and analytics data are generally retained for a shorter period than account information.
We retain such information only as necessary to maintain platform security, investigate abuse, diagnose technical issues, improve reliability, and comply with legal obligations.
Where possible, analytics data is aggregated or de-identified.
11.6 Backup Copies
For disaster recovery and business continuity purposes, encrypted backup copies of information may temporarily remain in secure backup systems after deletion from our production systems.
Backup copies are automatically overwritten or securely deleted according to our backup retention schedule.
Backup data is not restored except where necessary for disaster recovery or business continuity.
12. Deleting Your Information
Textomap provides users with meaningful control over their personal information. Depending on the Services you use, you may:
- delete saved maps;
- delete uploaded documents;

- permanently delete your account.

You may permanently delete your account at any time from your account settings.
When you delete your account, we will initiate deletion of:

- saved maps;
- uploaded files associated with your account;
- AI-generated outputs associated with your account;
- account preferences;
- authentication information.
Certain information may be retained where required to comply with legal obligations, resolve disputes, prevent fraud, enforce our agreements, or protect platform security.

13. Security
Protecting your information is an important part of operating Textomap.

- secure AWS infrastructure;
- authentication controls;
- password hashing;

Some web browsers offer a "Do Not Track" ("DNT") feature that signals your preference regarding online tracking.
At this time, there is no universally accepted standard for responding to Do Not Track signals.

No Access to Conversation Logs: When invoked inside ChatGPT or the OpenAI App Store, Textomap receives only the specific data parameters required to execute your mapping action. We have no access to, nor do we store, your broader ChatGPT chat transcripts or conversation history.
